An excavator hydraulic cylinder replacement should be matched by machine identity, cylinder position, original assembly reference and verified installation dimensions. A model name or a photograph alone is not enough to release a purchase order. For a distributor or repair workshop, the useful question is whether the proposed cylinder matches the particular machine and the scope of the repair.

Identify the cylinder position before requesting a quote

Start the enquiry with the manufacturer, complete model designation, machine serial number and cylinder function: boom, arm or bucket. Photograph the machine identification plate and the installed cylinder from a safe position. Include any readable cylinder label, stamped reference and evidence of earlier replacement work.

Arm and bucket cylinders must not be treated as interchangeable because they appear under the same excavator model. Hongtengda lists a PC200-8 arm cylinder assembly and a separate PC200-8 bucket cylinder assembly. These are useful starting points for an enquiry, but their listing names do not establish fitment for every machine configuration.

Both listings currently state that the part number is available on request. Ask for that reference and the supporting fitment information before approval. Where a previous owner fitted a different attachment or cylinder, record the change explicitly so the supplier is not matching an original configuration that the machine no longer has.

Separate the assembly number from component references

A workshop may need a complete cylinder, a piston rod, a barrel, a head or a seal kit. Write the required component in the enquiry rather than sending an unexplained number. A number copied from a casting or a removable component may identify that item rather than the complete cylinder assembly.

Keep photographs of the marking alongside the typed reference. Preserve letters, suffixes and leading zeros. If a supplier proposes a superseded or alternative number, request a documented cross-reference for the machine serial number and cylinder position. Put unresolved references on hold instead of treating a similar-looking catalogue entry as confirmation.

For example, Hongtengda’s SK200-8 bucket cylinder piston rod listing describes a repair component. It should not be quoted or received as a complete cylinder. Ask the supplier to state exactly what is included with the proposed item.

Build a dimension sheet with traceable measurements

Use an approved drawing or the applicable parts and service information wherever possible. Measurements from the removed unit help resolve identification gaps, but worn or damaged features need a workshop assessment. Mark each entry as drawing data, measured data or awaiting confirmation.

Have a qualified technician obtain inaccessible measurements under an appropriate maintenance procedure. Do not extend a damaged cylinder simply to complete a quotation form. Send an annotated drawing with a revision date. If the supplier answers using a different drawing, reconcile the measurement labels before signing it. An unanswered field should remain visibly open; a blank must not be interpreted as agreement.

Check hydraulic requirements as well as physical fit

Record the applicable operating conditions from machine documentation, including required pressure capability, fluid specification and temperature conditions. Ask the supplier to identify the proposed cylinder’s ratings and any restrictions. Avoid copying a pressure figure from another model or accepting an unqualified claim that a unit suits all excavators in the same size class.

Include port location, sealing details and any specified cushioning in the supplier’s written response. Request an annotated connection drawing if the photographs leave these details unclear. Mark items that still need technical approval rather than accepting a general statement of compatibility as an answer to each question.

A supplier’s response should connect the proposed item to the submitted enquiry. A generic catalogue sheet with no assembly reference leaves the central question unresolved. Where fitted valves or special pipework are involved, ask who will confirm their compatibility with the existing circuit before the order is released.

Example: an incomplete fleet enquiry

Consider a hypothetical request that says only “PC200-8 cylinder” and includes a close-up photograph. Purchasing cannot tell whether the workshop requires the arm or bucket assembly, whether the photographed component is original, or whether the request covers an individual repair part.

The workshop can improve that enquiry by naming the cylinder position, attaching the machine identification plate and marking the required supply scope on the photograph. The supplier can then return a proposed assembly reference and drawing, with any unanswered fitment questions listed explicitly. Purchasing should release the order against that agreed record.

For a distributor consolidating several customer orders, give each enquiry its own reference. Keep photographs, drawings and approvals attached to the corresponding line item. Do not allow a confirmation for one machine to become an assumed approval for another machine bearing the same model name. This makes later receiving checks and customer handovers easier to document.

Choose the repair scope before comparing prices

Ask the workshop to document the condition of the rod, barrel, mounting points and sealing surfaces before choosing between parts and an assembly. Compare the quoted component, remaining workshop labour, transport, packaging and any return requirements together. Obtain current availability, dispatch terms and warranty conditions in writing for the specific order. A website statement alone should not become the delivery commitment in your customer’s quotation.

Make receiving inspection part of the order

Agree on the receiving evidence while negotiating the purchase. Request photographs of the offered unit, its identifying marks, mounting ends and connections. Ask for the inspection or test record appropriate to the agreed scope, with a reference connecting the record to the supplied item. Do not assume a photograph proves internal condition or pressure performance.

On arrival, compare the label, visible configuration and supplied accessories against the approved enquiry and packing list. Record transport damage before the packaging is discarded. Keep the item on hold if the identity or connections differ; resolve the discrepancy with the supplier before installation.

Installation and pressure testing belong with qualified personnel using the machine-specific procedure. Do not use hands to locate a pressurised leak. HSE’s guidance on high-pressure fluid injection hazards identifies hand searching for leaks and failure to release pressure as dangerous practices.

What to ask your supplier before releasing the order

Use the enquiry as an approval record that purchasing, the workshop and the supplier can all reference:

  • Which machine serial number, cylinder position and assembly reference does the offer cover?
  • Which drawing confirms the dimensions and connection details?
  • What is included, and which existing components must be transferred?
  • What inspection evidence and written commercial terms accompany this unit?
  • Who will resolve any difference found at receiving inspection?
